We have an exciting opportunity for a Project Administrator to support a range of projects, managing onboarding, security vetting, workforce coordination and administrative processes across multiple projects.
Roles & Responsibilities:
  • Coordinate candidate onboarding and support through BPSS and security clearance processes across multiple projects.
  • Liaise with candidates, screening providers, vetting teams, clients and project stakeholders.
  • Maintain accurate personnel records, vetting documentation, trackers and compliance reports.
  • Manage workforce mobilisation activities, including vetting applications, VNF submissions, site access requests, security passes, visitor bookings and escorting requirements.
  • Monitor project requirements, key milestones and workforce status, providing regular progress updates to project teams.
  • Support project meetings, prepare minutes and undertake general project administration activities.
  • Produce and maintain project and office reports, including man-hour tracking and workforce data.
  • Provide general office and facilities administration, including stock management, purchasing requests, inductions and workplace records.
  • Act as a key point of contact for project personnel, site teams and external stakeholders, managing competing priorities across several projects at any one time.
Requirements:
  • Previous experience in project, office or administrative support.
  • Ability to manage multiple projects, deadlines and stakeholders simultaneously.
  • Excellent organisational skills and attention to detail.
  • Strong communication and relationship-building abilities.
  • Experience maintaining trackers, records and compliance documentation.
  • Proficient in Microsoft Office, particularly Excel, Word and Outlook.
  • Knowledge of BPSS, SC clearance, workforce vetting or site access processes is desirable.
  • Ability to pass Drugs & Alcohol (D&A) testing and BPSS (Baseline Personnel Security Standard) vetting
  • Eligibility to live and work in the UK
  • Full UK driving licence

This is an excellent opportunity for someone with previous project coordination or project administration experience within the construction, infrastructure, engineering or other project-led environments. Working across multiple live projects, you will play a key role in workforce mobilisation, security vetting and compliance processes, ensuring personnel are ready to meet project requirements and site deadlines.

The Role:

As a Project Coordinator, you will provide comprehensive support to project teams, overseeing onboarding and vetting activities, maintaining compliance records and coordinating workforce deployment across a range of projects.

Key Responsibilities Include:

  • Coordinating onboarding activities for new personnel across multiple projects
  • Managing BPSS and security clearance processes to ensure compliance requirements are met
  • Liaising with candidates, clients, screening providers and internal stakeholders throughout the onboarding journey
  • Maintaining accurate workforce records, project documentation and compliance trackers
  • Coordinating workforce mobilisation activities and supporting site access requirements
  • Monitoring project timelines and workforce readiness, escalating issues where necessary
  • Preparing reports and management information to support project delivery
  • Supporting project meetings and maintaining associated documentation
  • Acting as a key point of contact for workforce and compliance-related queries
  • Providing administrative support to ensure projects run efficiently and deadlines are achieved

About You:

The successful candidate will have:

  • Previous experience in a Project Coordinator, Project Administrator, Mobilisation Coordinator or Workforce Coordinator role
  • Experience working within construction, infrastructure, engineering, defence, nuclear or other project-led sectors
  • Previous experience managing BPSS, security clearance, workforce vetting or onboarding processes
  • Excellent organisational skills and attention to detail
  • Strong communication skills and the ability to build effective working relationships
  • Experience maintaining compliance records, trackers and project documentation
  • Proficiency in Microsoft Office, particularly Excel, Word and Outlook
  • The ability to manage multiple priorities and work to tight deadlines
  • Full UK driving licence
  • Eligibility to work in the UK
  • A proactive and adaptable approach to work
